Who looks after your information?

Laura Ellis, trading as Ellis Print & Stitch, is responsible for the personal information used to run the business.

What information do we use?

• Enquiries: your name, email address, optional phone number and the message you send.
• Orders: contact and business details, garment choices, sizes, colours, quantities, artwork, wording, proof approvals and relevant correspondence. Delivery details are needed only if postage is arranged.
• Business records: quotes, invoices, payment records and information needed to deal with an order, return or complaint.
• Website use: your basket choices are saved in your browser. Hosting and security services may process technical information such as an IP address and request details to deliver and protect the website.

Please only send information needed for your enquiry or order. Do not put card details or sensitive personal information in the contact form or order notes.

Why we use it

We use this information to answer you, prepare quotes and artwork, fulfil orders, arrange collection or agreed postage, and resolve queries. Information needed to prepare or carry out your order is used to take steps towards, or fulfil, our contract with you.

Our legitimate interests include answering general enquiries, managing business contacts, protecting the website and dealing with complaints. Accounting and tax records are also kept to meet legal obligations. If a separate use requires your consent, we will ask for it; you can withdraw that consent.

Sending an enquiry does not sign you up to a mailing list. Laura reviews enquiries and orders personally.

Who handles the information?

Information is shared only where needed to provide the service, run the business or meet a legal requirement. This can include hosting, email and payment providers, our accountant and a delivery company when you arrange postage.

• Contact form: The contact form is currently unavailable. Earlier submissions were processed by FormSubmit for delivery to our business inbox. Its service used a Google reCAPTCHA spam check. Read FormSubmit’s privacy information.
• Email: our business mailbox uses Microsoft 365 through GoDaddy.
• Website: the site is hosted through OpenAI Sites and Cloudflare infrastructure.
• WhatsApp, social media and map links: when you choose one of these links, you use the relevant provider’s service and privacy settings.
• Payments: these are currently arranged directly with Laura after your order is confirmed. The website basket does not collect card details or take payment.

Some service providers operate internationally and may process information outside the UK. Their privacy information explains their arrangements. Contact Laura if you would like details about the providers used for your enquiry or order.

Cookies and your saved basket

The shop uses browser storage to remember your basket on that device. Basket contents stay there until you remove them or clear the website’s stored data in your browser. This is used for the shopping function; no advertising or analytics scripts have been added to this website.

The previous form provider, FormSubmit, and its spam-check service may have used cookies on their own pages. External websites have their own cookie settings.

How long is information kept?

Enquiry information is kept for as long as it is needed to answer the request and deal with relevant follow-up. Order and correspondence records are kept where needed to fulfil the order, handle returns or complaints, or meet accounting, tax and other legal obligations.

Artwork may be kept to help with repeat orders while there is a continuing business need. You can ask Laura to review or delete information that is no longer needed. Some records may still need to be retained for legal reasons.

FormSubmit states that its submission archive is retained for 30 days. Copies delivered to our business inbox are handled under the criteria above.

Your choices and rights

Depending on the circumstances, you can ask to see your personal information, correct it, delete it, restrict its use or receive a portable copy. You can also object to processing based on legitimate interests and withdraw consent where we rely on it. These rights are subject to the applicable legal conditions.
